What this policy covers

This policy explains what information we collect through our website and our lesson programs, why we collect it, how we protect it, how long we keep it, and what you can ask us to do with it.

Information we collect

When you fill out a form

Our booking, contact, FAQ, and instructor application forms may ask for:

• Student’s name and preferred name
• Student’s age
• Parent or guardian’s name, where the student is a minor
• Email address and phone number
• Service address or general location, so we know where lessons take place
• Lesson preferences: in-person, virtual, days and times, program of interest
• Prior DJ experience, equipment owned, software used, musical interests
• Information about supports that help the student learn well
• Emergency contact information
• Permissions you grant us regarding photos, video, and showcase recordings

Information about learning supports

We ask what helps a student succeed, for example communication preferences, attention or sensory needs, or strategies that help when a student is frustrated. We ask about supports, not diagnoses. You never need to share medical or diagnostic information with us, and we ask that you do not.

Information collected automatically

When you visit our website, our hosting and website software may record standard technical information such as pages visited and general location, in order to keep the site running and secure.

We do not use third-party analytics or advertising trackers. We do not track you across other websites.

Children’s information

Most of our students are minors, so this section matters most.

• We collect information about a child only from a parent or guardian, or with a parent or guardian’s knowledge and permission.
• We collect only what we need to teach safely and well: who the student is, how to reach a responsible adult, where lessons happen, and what helps that student learn.
• We do not sell children’s information. We do not use it for advertising. We do not share it for marketing of any kind.
• We never publish a student’s full name, image, video, or voice without specific written permission from a parent or guardian.
• A parent or guardian can ask us at any time to show them what we hold about their child, correct it, or delete it. See “Your choices” below.

Photos, video, and student showcases

We sometimes photograph or record lessons, performances, and showcases.

• We do this only where a parent or guardian has given written permission, collected separately from general booking.
• Permission can be withdrawn at any time. Contact us and we will remove the material from our website and social media going forward.
• We aim to identify students by first name or DJ name only, never by full name alongside a location.

How we use information

We use what you give us to:

• Respond to your enquiry and recommend a suitable program
• Schedule, deliver, and adapt lessons
• Contact you about scheduling, invoices, and program updates
• Reach an emergency contact if something happens during a lesson
• Improve our programs and materials

Marketing emails

From time to time we send news about programs, showcases, and offers to families who have booked with us or asked to hear from us.

Every marketing email we send includes an unsubscribe link. You can also email us at hello@spinlabstudios.com and ask to be removed. We will action your request within ten business days, and we will keep sending you necessary messages about lessons you have already booked.

Who we share information with

We do not sell your information. We do not trade or rent it. We share it only with:

• Instructors (Spinstructors) teaching your student, and only what they need to teach that student well
• Service providers that run our systems: our website host, our form software, and our email provider, who process information on our behalf
• Payment services we use to take payment: Zelle, Cash App, and Square. When you pay us, your information is handled under that provider’s own privacy policy as well as this one.
• Schools or organizations, where lessons are arranged through them, and only as needed to run that program
• Anyone we are legally required to share with, or where sharing is necessary to protect someone’s safety

How long we keep information

• Booking and intake records: kept for 24 months after a student’s last lesson, then deleted.
• General enquiries and contact form messages: deleted after 12 months.
• Financial records: kept as long as tax and accounting rules require.

When information is no longer needed, we delete it.

How we protect information

We take reasonable steps to protect the information we hold, including:

• An encrypted (HTTPS) connection across our whole website
• Two-factor authentication on administrator accounts
• Automatic security updates for our website software
• Limiting access to student information to people who need it
• Regular backups, stored securely

No website can promise perfect security, but we take this seriously, especially because much of what we hold concerns children.

Your choices

You can ask us to:

• Show you what information we hold about you or your child
• Correct anything that is wrong
• Delete information we no longer need
• Withdraw photo or video permission at any time
• Stop contacting you

Email hello@spinlabstudios.com and we will respond within 30 days.

If you are asking on behalf of a student, please contact us from the email address you originally used to book, or be ready to confirm your identity another way, so we do not hand a child’s information to the wrong person.

Cookies

Our website uses only the cookies necessary for the site to function and stay secure. We do not use advertising or tracking cookies. If that changes, we will update this policy and add a cookie consent notice.

Changes to this policy

If we change this policy, we will update the date at the top. If a change materially affects how we handle student information, we will tell families directly.
